Questions to ask every vendor
The spec sheet rarely answers these — and they are where projects go over budget or under-perform.
- Payload at full reach. What is the rated payload at maximum extension and speed, not just at the comfortable 60–75% reach the headline figure uses?
- Gripper weight. Is the quoted payload before or after end-of-arm tooling? A 5–8 kg gripper can eat a third of a “15 kg” robot’s capacity.
- Wrist inertia. What is the maximum permitted moment of inertia for my gripper geometry and load offset? A part mounted far from the flange can exceed inertia limits even within the payload rating.
- Real cycle speed. Is the TCP speed spec Cartesian (mm/s) or per-axis (deg/s)? What cycle time is realistic for my actual path and load?
- Collaborative speed tax. In power-and-force-limited (PFL) mode, what throughput drop should I expect versus fenced operation? (Often 40–60%.)
- All-in installed price. What is the total: hardware + integration + safety fencing + EOAT + commissioning + training? Hardware is typically only 25–50% of the project.
- CE / UKCA marking. Who performs the ISO 10218-2 risk assessment and issues the Declaration of Conformity for the complete cell? The arm’s CE mark does not cover the cell.
- Lead time. What is the current lead time from order to delivery, and what is available from regional stock?
- Service & spares. Where is the nearest certified service engineer, what is the response-time commitment, and what is the spare-parts lead time?
- Fieldbus / PLC fit. Which protocols are supported out of the box — PROFINET, EtherNet/IP, EtherCAT, Modbus TCP, OPC-UA — and do they match my floor?
- Warranty & maintenance. What is the warranty term and the annual service-contract / maintenance cost (typically 3–15% of system cost per year)?
- References. Can you provide reference installations in my industry and application?

The checklist asks for payload at full reach (manufacturers quote peak payload at reduced reach), gripper weight budget, realistic cycle time at your actual load, lead time from order to delivery, who is responsible for CE marking of the cell, and annual service contract terms.
